• Veterinary, landlord, and personal reference contact information
• Pet history and care information
• Identity documents (driver's license, proof of address, lease agreement) for verification purposes
• Responses to adoption-readiness questions in your Adopter Passport

We also collect limited technical data automatically, such as IP address and session timestamps, for security and audit purposes.

We use your information to:

• Build and maintain your Adopter Passport profile
• Verify your identity and references on your behalf
• Share your passport with rescue organizations you explicitly choose
• Calculate your Adopter Passport score
• Send transactional emails (verification requests, status updates)
• Improve our platform and prevent fraud

We do not sell your personal information to any third party.

Your Adopter Passport is only shared with rescue organizations you explicitly choose by clicking “Share Passport.” We do not share your information with any rescue without your action.

We may share information with trusted service providers (e.g., email delivery, cloud hosting) solely to operate the platform. These providers are contractually required to protect your data and may not use it for any other purpose.

We may disclose information if required by law or to protect the rights and safety of our users.

Identity documents you upload (driver's license, proof of address, lease agreement) are used solely for verification purposes. Documents are processed by optical character recognition (OCR) software and reviewed by Adopter Passport staff. Document images are stored securely and are not shared with rescue organizations.

When you request verification, Adopter Passport will contact your veterinarian, landlord, or personal references by email on your behalf. You consent to this outreach by initiating the verification in your profile. References are contacted only once unless a follow-up is requested.

We retain your account and profile information for as long as your account is active. If you close your account, we will delete your personal information within 90 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention records).

When you delete your account, all personal information, passport data, verifications, and uploaded documents are permanently removed. Rescue organizations you previously shared your passport with will no longer have access to your details. Account deletion is irreversible and processed immediately upon confirmation.

Depending on your jurisdiction, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Request deletion of your account and data
• Withdraw consent for data processing where consent is the legal basis
• Lodge a complaint with a supervisory authority

We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is 100% secure. We will notify you promptly in the event of a data breach affecting your information.

We use session cookies strictly necessary for authentication. We do not use tracking or advertising cookies. You can disable cookies in your browser settings, but doing so will prevent you from logging in.

Our platform is intended for adults (18+) only. We do not knowingly collect personal information from anyone under 18. If you believe a minor has submitted information to us, contact us immediately at support@adopterpassport.com and we will delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the effective date above. Continued use of the platform after changes are posted constitutes acceptance of the revised policy.
